If you are not using Medlin Accounting Software (which can directly import the paycheck details), consider posting just monthly totals into your accounting software.

Manually entering the monthly totals is often the fastest method.

 

Using the Payroll Checks (Batch) option on the Reports screen, you can save paycheck information as a CSV formatted file.

You may be able to import the csv data into your other software, either as is or after manipulating the data.

One of the most common questions we receive is from those who use a competitor's product for their accounting, but wish to use our payroll software as an easier and/or cheaper solution than our competitor's payroll product.

In the case of Intuit®:

Intuit® has the ability to import data from other programs.

In the case of payroll data, Intuit® allows direct importing of payroll data only if the data has been marked with a code showing Intuit® has been paid a license fee from the person and/or software which created the data.

Since you are likely using Medlin Payroll Software to save time and money, it makes no sense to also pay Intuit® to not use their software!

 

Manually Posting Payroll Data into your Accounting Software

At the end of each pay period, each month, or each quarter, print a Payroll Tax Summary for the pay period, month, or quarter, and enter the payroll totals into your accounting software.

The check detail is already in Medlin Payroll Software, and may not need to be duplicated in your accounting software.

It is rare for a paycheck to remain uncashed, so bank reconciliation should not be affected by entering just the payroll totals.

 

Export to QIF

This option creates a .QIF (Quicken Interchange Format) file containing the new paychecks.

This file can be imported by any program supporting the .QIF format.

Exported information:

Date of the check - with a four digit year.

Net pay amount

Check number

Payee

Address

Category - The default category is 'Payroll' but you can enter any category up to 15 characters in length.

How to Export

Click 'File', then 'Export Checks to .QIF File'

Enter the category, then click 'OK'.  If you need to export the checks a second time, enter RESET as the category.

Select a folder and file name, then click 'OK'.

 

Importing QIF Data

For specific instructions on importing the checks, refer to the instructions for the program you are attempting to import the paycheck information into.

Import to Quicken®

While we are not affiliated in any manner with Intuit, the following import process has been confirmed to work with Quicken 2008, and may work for later versions as well.

In Quicken, create a new account.  The account should be setup as not being held by a financial institution.  Choose 'Cash' as the 'Cash Flow' option. Name the account 'Payroll Import'.

To import a QIF file, in Quicken, click File, Import, then QIF File.

Select/Browse to fund the desired file to import, then select 'Payroll Import' as 'Quicken account to import into'.

After importing, go to the Payroll Import account, select all of the transactions. Right click one of the selected transactions and choose 'Move Transactions'. Select your checking account, and the payroll transactions are moved to your checking account.
