All states require employers to report every new employee hired.

It is best to send the report to your state with every new hire, so you do not forget.

Most states have an online data submission process, if you prefer not to mail or fax the information.

 

States Which Allow Alternate Formats

Mail or fax the generic form printed by Medlin Payroll, as these states specifically allow alternate formats which contain the required information.

AK, AR, AZ, CA DC, GA, HI, IA, IN, KS, KY, LA, MD, MI, MN, MO, MS, NC, ND, NE, NJ, NM, NV, OH, OR, RI, TN, UT, VA, VT, WA, WI, WV

 

States Which May Allow Alternate Formats

The following states may or may not accept alternate formats - Online reporting may be the easiest method:

CO, DE, FL, IL, OK, PA, SD, TX - online reporting recommended.

AL, CT, ID, MA, ME, NY - online reporting required.

SC - Must use specific form.

NH - Must use the specific NH paper form.

 

NOTE

To find your state's information, search the internet using 'XX New Hire Reporting'.

Make sure to use your state's two digit postal abbreviation in place of 'XX'.
